Showroom Coordinator

Position Description

Design Galleria Kitchen and Bath Studio, one of the nation’s leading and award‐winning millwork and cabinetry design firms is seeking a qualified individual for immediate, full‐time employment at our new location in the Nashville Design Collective. Visit

Applicants should be:
 Energetic and Organized
 Capable of using typical Microsoft Office products for PC’s (Outlook, Word, Excel, Publisher, etc.) with excellent written and verbal communication skills
 Ethical and professional in manner, attitude, and dress
 Self‐motivated and able to work independently
 Gifted with a sense of design style and function with a strong attention to detail
 Strong deductive reasoning skills with excitement to learn new tasks
 Team player and ability to assist when needed
 General AUTOCAD skills a huge plus

Job responsibilities include but not limited to:

 Open and close the showroom, Monday‐Friday 9am to 5pm
 Greeting showroom guests and provide showroom tours when designer is not available
 Providing guests with refreshments
 Keeping showroom in clean/working order from day to day, managing weekly cleaning crew
 Keeping refrigerators stocked with beverages, flowers fresh and plants watered
 Scheduling new client meetings using designer’s shared calendar
 Incoming and outgoing Package and mail receipt, prep and expediting
 General Mail collection / distribution
 Coordinate acquisition of office supplies and refreshments through Atlanta Showroom Manager and organize the items storage and stock in the Nashville showroom
 Answer phone calls (which can be transferred calls from main line in Atlanta)
 Assist in planning and execution of special showroom events
 First responder to troubleshoot and repair office IT issues (PC’s, copy machine, plotter) and if not successful coordinate resolution with local contractor or through Atlanta Showroom Manager
 Prepare for client meetings by pulling samples, printing drawings as needed and straightening up after client meetings (return samples to their respective storage locations)
 Keep up to date client / referral lead database and sync with Atlanta database
 Keep up to date system organization for resource library. Samples include but not limited to cabinetry doors, countertops/stones, tiles, vendor catalogs and books, DG literature
 Organization of files on server for client files, drawings, pictures and templates
 Lead generation and sourcing through local editorial contacts / publishers / editors
 Work in conjunction with Atlanta Marketing support for Ads, events and general promotion as needed
 Prepare physical client job notebooks/folders
 Keep up to date installer’s and subcontractors weekly schedules on shard calendar, correspond jobsite responsibilities based on weekly designer meetings and coordinate with subcontractors on general to‐do lists.
 Prepare and keep up to date weekly client list for internal designer meetings
 Prepare project contract documents, service proposals or designer retainer agreements as needed
 Job product and accessory procurement for client projects. Including but not limited to decorative items such as cabinetry hardware, decorative lighting, wallcoverings, furniture, fabrics, tile, countertop slabs
 Keep up to date project procurement and delivery of said accessories
 Coordinate deliveries for cabinetry and accessories to client jobsites with contractors, receive and document deliveries and accessories on project sites as needed
 Act as general liaison of information from client, builder, subcontractors and designers as needed
 Facilitate successful project completion via the development and execution of a punch list, including managing the timeline for delivery of parts in conjunction with design techs so projects are completed in a timely manner
 General AUTOCAD skills are desired to help with general construction documentation as needed
